Privacy policy

Last updated: October 18, 2026

This policy explains what personal data Nautilance (“Nautilance”, “we”) processes on this website and in the app, why, and your rights. We are the controller of that data.

1. This website

This website sets no cookies of its own. Your light or dark mode, if you choose one with the theme button, and your answer about analytics cookies are kept in your browser’s local storage and never sent to us. The language follows the address or your browser’s language.

We count visits with Vercel Web Analytics, which uses no cookies and gives us anonymous, aggregated figures (pages viewed, country, device type). Our host keeps standard server logs for security.

Only if you accept, we also use Google Analytics (Google Ireland Limited) to see how visitors find and use the site. It sets cookies and receives your IP address, browser and device details and the pages you view, which Google may process outside the EU, including in the US under the EU–US Data Privacy Framework. Google signals and ad personalization are turned off. The legal basis is your consent, which you can withdraw at any time with “Cookie settings” at the bottom of every page.

2. What the app collects

Account details: your name, email address, account type and language, and for businesses their details, vessels and verification documents.

If you set a password, we keep only a one-way hash of it, with when it was set and from which device and place.

What you add: profile details, roles, certificates and their copies, documents and expiry dates, availability, bookings, jobs, messages and photos.

What you send us: messages to Nautilance Support, feedback, and reports of abuse with any screenshots.

Activity: when you log in or out, update your profile or settings, search, send a message or take similar actions, we record the time, IP address, approximate location, browser and device, language and whether you use the installed app. We don’t record the pages you browse ourselves.

Only if you accept in the app’s cookie notice, Google Analytics (Google Ireland Limited) shows us how the app is used. It receives your IP address, browser and device details and the pages you open, with ids and private link codes removed, and Google may process this outside the EU, including in the US under the EU–US Data Privacy Framework. Its advertising features are off. The legal basis is your consent, which you can withdraw at any time in Settings › General.

3. Why we use it

To provide Nautilance under our terms with you; to keep accounts safe and investigate abuse (our legitimate interest); to verify businesses; and to meet legal duties, for example for payments and tax.

We don’t sell personal data and don’t use it for advertising.

4. Who sees it

Other users see what the app shows them under your settings: for example, only verified businesses on a paid plan, your friends and the people you talk to see a crew member’s name, photos and bio.

Service providers process data for us under contract: hosting, database, file storage, email delivery and, once payments start, our payment provider. Automated verification checks use only public information about a business’s website and domain; documents are reviewed by our team.

5. Where and how long

Data is stored in the European Union (Frankfurt, Germany).

Activity details are shortened or removed after 90 days: IP addresses are shortened and browser details removed. Verification ID photos are deleted 30 days after our decision. The rest is kept while your account is open.

Deleted photos and videos are kept out of sight for 14 days for safety reviews (longer while a report about them is reviewed), then deleted for good. Screenshots sent with a report are deleted 90 days after it is handled, unless an account suspension still depends on them.

6. Your rights

You can ask to access, correct, export or delete your data, object to or restrict its use, and complain to your data protection authority.

Most details can be changed in the app. In Account › Data you can download a copy of your data, and in Account › Delete account delete your account yourself; past chats, bookings and ratings then stay for the other people in them, shown as “Deleted account”. For anything else, use the contact form and choose “My account”.
